You will provide top-notch executive assistance and office services support to the CAO group and the Atlanta Innovation Hub

As a contributor at AIG you are the one the clients turn to in times of need. You act with speed, composure, compassion and knowledge to solve problems and the work you do every day is the heart of AIG’s business.

What you need to know:

  • Work with executives to organize and schedule and effectively prioritize daily activities

  • Support operations including calendar management, travel and expense, meeting set up planning and overall workflow.

  • Anticipate the needs of and organize and maintain complex business calendars; prioritize and coordinate high volume and ever-changing schedule and priorities.

  • Coordinate all IT issues needed, including arranging for help desk support and systems related matters.

  • Act as a trusted point of contact that employees lean on when they require a variety of assistance with administrative needs.

  • Assist with new hire onboarding by ensuring all systems and applications needed are up and running on a timely basis.  Assist in off-boarding logistics as needed.

  • Perform a variety of office support duties, including onboarding, offboarding, meetings and events, employee relocations, mail/file/print requests, hoteling/visitor Management.

  • Support facility related requests, working closely with the building resources to respond promptly to janitorial, air comfort requests and adhoc requests to ensure the facility is maintained at a high level. 

  • Build relationships with employees, including Building Mgmt. and Engineers. 

  • Provide onsite support with corporate meetings & events.

  • Onsite emergency assistance in response to incidents

  • Provide support for execution of Real Estate projects.

  • Maintain inventory and orders equipment, technology requests within prescribed procedures and contractual agreements.

  • Oversee common areas, i.e., pantry, copy/supply rooms

What we’re looking for:

  • The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform administrative duties requiring advanced skills and significant experience with attention to detail, proactivity, a positive attitude and sophisticated stakeholder management.  This includes:

  • 5+ years direct experience supporting senior executives, preferably in a large, multi-national environment.

  • Demonstrated Executive Assistant experience and office services experience supporting senior level management with demonstrated experience working with all levels and across various departments and groups. 

  • Skilled at managing complex calendars and coordinating travel arrangements internationally and domestically.

  • Must be a self-starter and take initiative, highly proactive and self-disciplined.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft office products including Word, Excel, PowerPoint, and Outlook.

  • Must have strong interpersonal, organizational skills and be detail-oriented.

  • Maintain discretion and project professional demeanor - especially under pressure.

  • Ability to think strategically to keep the executive on track.

  • Tech savvy in order to problem solve and help the executive.

  • Strong project and budget management skills

  • Multi-function Leadership & coaching skills

  • Ability to work well under pressure in a fast-paced environment.

  • Bachelor’s Degree preferred, or equivalent work experience.
