Role description


As the face of Assystem UK, your role is pivotal to maintaining & influencing our culture; maintaining order & coordination of the Bristol office; and ensuring that all visitors, internal or external, are given the big Assystem Welcome.


Your responsibilities will include:

  • Manning the reception desk during core hours; ensuring that every visitor is greeted with a friendly face and that security processes are adhered to.
  • Act as the main point of contact for visitor passes and for visitors attending the building.
  • Ordering and maintaining levels of tea/coffee, stationary etc.
  • Liaising with the landlord and/or facilities when required.
  • Support with large meetings/events; organisation, minute taking and coordination.
  • Photocopying, printing and scanning.
  • Assisting with recruitment admin when required, including formatting documents.
  • Act as the RHSO (Responsible Health & Safety Officer) for the Bristol office. Maintaining adequate levels of H&S and reporting any issues to the H&S team.
  • Manage office equipment - coordinating with IT Support for troubleshooting and maintenance e.g. ensuring all monitors work and coordinating the replacement of broken equipment.


You may be required to support additional admin activities when needed.



Qualifications

Required skills & experience: 

  • Previous experience in a similar role: Administrator, Office Manager.
  • Personable approach with ability to develop positive working relationships at all levels within an organisation.
  • Ability to work autonomously, under pressure and with conflicting and changing priorities.
  • Organised & well presented.
  • Strong attention to detail.
  • Ability to effectively use Microsoft Office applications.
  • Good literacy and communication skills.
  • Initiative, judgement and drive to resolve many day-to-day challenges independently (i.e. proactively problem solve).


This role is based in our Bristol office (Aztec West), and the successful candidate is required to be onsite 5 days a week. Hybrid working may be permitted on occasion.
