Receptionist / Site Administrator 

Main purpose of the job 

Provide overall administrative & day-time security support and provide administration support to the plant. 

Main missions and results 

• First point of contact for anyone entering the site including management of visitor booking in system. 

• Provide direct administration support to the Plant Departments as required. 

• Access and visibility of CCTV camera system as directed by the Plant Team and in line with the CCTV Policy and guidelines. 

• Manage the ANPR database. 

• Ensuring site telephone list is up to date with new starters and leavers removed. 

• Manage visitor meetings with refreshments if required. 

• Raise purchase orders for the departments using TAP and book in orders. 

• Audit Temporary Workforce invoices, validating hours, rates and any missing data/approvals. 

• Maintain relevant budget trackers (stationery, uniform, shoes etc) each month. 

• Manage and control of access cards using the Timeware Attendance System. Maintain appearance of reception in line with 5S standards. 

• Adherence to all Artifex HSE policies and procedures at all times. 

• Manage and organize all plant Occupational Health bookings. 

• Ensure all near miss and hazards are identified & managed through Artifex HSE policies. 

• Suggest and support improvements to administrative processes and systems where opportunities are identified 

• Fire evacuation support as required. 

• Liaise with security company to ensure full cover across the site 

• Liaise with facilities and other onsite support functions to support plant requirements 

• Update notice boards 

• Vending Machine Management 

• Re-calibration and supply ordering for Drug and Alcohol testing. 

Preferred skills and experience 

• Administration or business-related qualification preferred. 

• Education to GCSE or equivalent to at least C / Grade 4-level English & Math’s. 

• Experience of working in a Reception area together with good administration skills is essential for this role. 

• Computer literacy with Microsoft packages (Word, Excel, and Power Point etc.) is essential. 

• “Can Do” attitude with the ability to problem solve. 

• Friendly and approachable whilst maintaining a professional attitude. 

• Excellent communication skills at all levels. 

• Excellent organisation skills and the ability to work to deadlines. 

• Good communicator with the ability to form and maintain good relationship internally and externally. 

• Excellent attention to detail skills. 

• Is resilient, assertive, optimistic and open to change. 

• Assertive and self-motivated and able to work under pressure. 

• Understanding of IATF16949/ISO9001 Quality standards is beneficial but not essential.
