Job Description

Checkout.com is seeking a Team Assistant in the CEO office to join our fast-paced, growing, and multifaceted business to support the Director, CEO Office. As the Team Assistant, you will play an important role at the heart of the organization in a global capacity.

We're looking for a forward-thinking, tech-savvy and highly organized individual with prior executive support experience in a fast-paced environment. The ideal candidate for this role will have a high level of emotional intelligence, concise communication skills, an ability to problem solve independently, strong attention to detail and exercise discretion at all times.

This hybrid role is typically required to be in the London office 3 days per week, with some flexibility based around the CEO’s travel schedule.


We are looking for:
● A true team player who is confident working both independently and has a previous track record of building effective relationships both internally and externally
● Adaptability - no two days will be the same, there will often be very last minute changes. Remaining resilient and calm under pressure is key
● Flexibility - nothing is seen outside of the job role within reason
● A proactive approach and an ability to take initiative; a practical problem solver
● A high level of emotional intelligence - the ability to read a situation both in person and virtually and tailoring communications to different audiences
● A highly efficient and organized individual and someone who takes pride in being so
● A fast learner and someone comfortable working at a fast pace
● A willingness to embrace and accept a range of tasks from the basic to more complex
● An appetite for event planning
● A global mindset - an understanding of time zones and appreciation for cultural nuances and different working practices
● Prior CEO / Founder office experience, ideally within a global business
● Tech industry experience is helpful
● An understanding that we make the impossible, possible

Qualifications

How you'll make an impact:
● Support the coordination of meetings with both internal and external partners across global time zones using Google Calendar, Google Meet and Zoom
● Ensure meeting logistics are in place for meetings both in and out of Checkout offices
● Support with complex, global and ever-changing travel itineraries - researching, booking, writing itineraries and support in real time when the CEO is traveling
● Visa requirements - research and applications
● Support with highly detailed fiscal travel records
● Assist with event planning and coordination for regular leadership and other events where the CEO is involved
● Documentation for CEO signatures - printing and marking up for physical signatures and submitting via DocuSign for digital
● Process invoices
● Process expenses in a timely and efficient manner
● Restaurant research and reservations
● Undertake ad hoc personal errands for the CEO as required
● Undertake ad hoc administrative tasks and project support for the Chief of Staff team as the need arises
● Proficient use of G-suite, Microsoft Office, Coupa, Zoom and Slack
● Coordinate with the CEO’s family office team as required
● Be a trusted colleague to the CEO office team, working with discretion in all matters relating to the CEO and wider business
