🎯 The Role

As an Executive Assistant within Operations, you’ll partner one‑to‑one with the Chief Business Operations Officer to amplify productivity, structure workflows, and help design operational systems. This isn’t just a support role – you’ll help build and refine how we work, what we prioritise, and how we manage decisions, time, and tasks. This role will help establish best-practice EA/executive partnership from the ground up. You'll have autonomy to design systems and workflows that work for both of us, with space to shape how we collaborate.

🚀 What You’ll Do

Operational Support

  • Manage and prioritise calendars, scheduling, and daily agendas.

  • Manage inboxes: draft and filter communications, then escalate or respond as appropriate.

  • Prepare meeting briefs (half‑page bullet summaries preferred), action lists, and track follow‑ups using Notion dashboards and trackers.

  • Handle travel and event logistics (UK & occasional international) with self‑managed time and coordination.

  • Set up, maintain, and optimise task systems (Notion, Todoist, Reclaim.ai) with the calendar as the single source of truth for scheduling.

Systems & Improvement

  • Co‑develop decision‑rights, SLAs, SOPs and vendor/expense workflows.

  • Own operational system maintenance and propose optimisations to increase deep‑work time.

  • Filter communications and tasks so you and the executive focus only on high‑impact items.

  • Take responsibility for onboarding/off‑boarding workflows and basic security/access controls (post‑probation).

Executive Partnership & Personal Support

  • Manage personal scheduling, reminders, celebrations, and gifting.

  • Occasionally accompany in‑person meetings or events when based in/around London.

  • Proactively streamline and improve personal systems and tasks

👀 Who You Are

Must haves

  • UK‑based and able to travel in/around London when required.

  • 2–4 years’ PA/EA experience in a fast‑moving environment.

  • Outstanding organisational and prioritisation skills; able to switch context rapidly.

  • Excellent written & verbal communication; able to draft, summarise and escalate appropriately.

  • Comfortable with full access to confidential information, systems, and workflows, and trusted accordingly.

  • Experience with Notion, Slack, 1Password; ability to learn new tools quickly.

  • Mindset aligned with a direct, analytical, results‑driven, and high‑autonomy environment.

Nice-to-haves

  • Interest in fintech/operations/systems thinking.

  • Experience supporting a senior executive/founder.

  • Experience with AI and similar automation tools

  • Assertive yet grounded personality, willing to challenge constructively.

  • Detail‑oriented, with strong initiative and follow‑through.
